As a key member of the Business Development team, the Senior Proposal Coordinator is responsible for spearheading the creation of high-quality proposals that clearly convey our firm’s strengths and help secure new business opportunities. The Senior Proposal Coordinator will work collaboratively with multiple departments to ensure that proposals are not only compliant and compelling but also tailored to meet client specifications.

Key Responsibilities

  • Participates in the proposal process from start to finish.
  • Maintains a proposal library and resource management system.
  • Coordinates the development of complex proposals, including RFP, RFQ, and RFI responses.
  • Implements proposal strategies and processes to ensure efficiency and quality.
  • Oversees proposal content development, ensuring clarity, consistency, and compliance with client requirements.
  • Follows proposal schedules and deadlines to meet submission requirements.
  • Conducts thorough proposal reviews and quality assurance checks.
  • Collaborates with subject matter experts and other stakeholders to gather and develop proposal content.
  • Participates in proposal kickoff meetings and team collaboration sessions.
  • Provides support to proposal teams throughout the development process.
  • Partners with seller-doers to customize proposal content to address specific client challenges and opportunities.
  • Builds strong relationships with internal stakeholders.
  • Writes non-technical text and edits/proofreads documents. Provides the team with a clear definition of proposal content, assignments, and production schedule.
  • As directed, manages concurrent proposals and activities for each, including assembling team, scheduling and facilitating milestone review meetings, directing and assuring follow-up actions, and producing final submittals.
  • As directed, evaluates content to ensure RFP requirements and evaluation criteria are met and the proposal is compliant.
  • Tracks amendments and clarifications to ensure that the final proposal incorporates all required information.
  • Ensures quality and schedule performance of proposal efforts.
  • Works with the proposal team to deconstruct proposal contents and capture the material in the firm’s database upon submission.
  • Other duties and special projects as assigned.

Requirements

  •  Bachelor’s degree in Marketing, Communications, or Technical Writing.
  • A minimum of five years of proven proposal/marketing coordination experience in the architecture, engineering, and/or construction (AEC) industry.
  • Proficiency in Adobe Creative Suite (InDesign, Photoshop, Illustrator) is required. Proficient with content management systems (CMS) or client relationship management (CRM) tools.
  • Demonstrated ability to manage complex proposal development projects.
  • Excellent written and verbal communication abilities.
  • Strong organizational and time management skills with keen attention to detail and ability to meet deadlines.
  • Capability to work effectively under pressure and meet tight deadlines.
  • Strong interpersonal skills and the ability to work well in a team environment.
  • Flexibility to adapt to changing priorities and work environments.
  • Valid driver’s license and driving record with 3 or less demerit points.
