YOU WILL?
Executive Calendar Management: Maintain, manage, and optimize the CEO and President’s schedules, coordinating internal and external appointments, and ensuring the highest priority matters are addressed.
Stakeholder Management: Serve as the primary point of contact between the CEO, President, and key internal/external stakeholders, including investors, senior leadership, and external partners.
Travel Coordination: Arrange complex travel itineraries (both business and personal), ensuring smooth and efficient travel experiences, including accommodations, transportation, and any special requests.
Administrative Support: Manage sensitive and confidential correspondence, including incoming mail, emails, faxes, and other communications. Prepare necessary responses and ensure timely distribution.
Meeting Documentation: Compose minutes from high-level meetings and distribute them to appropriate teams, following up on action items as necessary.
Document Preparation: Prepare and review investor reports, property acquisition summaries, and other business-related documents, coordinating with relevant teams to ensure accuracy and timeliness.
File Management: Maintain a comprehensive filing system for executive documents (both digital and physical), ensuring all correspondence, itineraries, and key information are easily accessible.
Expense Tracking: Assist with expense tracking for business ventures and personal holdings, ensuring accuracy and confidentiality.
Event Planning: Organize and execute corporate and personal events, managing everything from logistics to guest lists, ensuring seamless execution.
Personal Assistance: Handle personal errands, including driving as needed, to support the CEO and President.
Project Support: Assist with occasional public-facing meetings, such as development-related events, providing logistical support as needed.
Strategic Gatekeeping: Act as a gatekeeper, protecting the CEO’s time by prioritizing and filtering requests, ensuring that only critical issues reach their desk.
Information Hub: Serve as a key source of information, keeping the CEO and President updated on key organizational developments and flagging important news or trends in the industry.
Crisis Management: Provide support during high-pressure situations, including rapid responses to urgent needs or crises.
Stakeholder Engagement: Regularly liaise with board members, shareholders, and government officials, ensuring timely and accurate communication across various levels of the organization.
Expense Management: Oversee the submission, tracking, and approval of expense reports, ensuring accuracy and compliance with company policies.
Board Support: Assist with board meeting preparations, including preparing agendas, organizing materials, and ensuring timely dissemination of documents to board members.
Special Projects: Coordinate and execute special initiatives or projects as directed by the CEO, ensuring alignment with company goals.
Internal Communications: Collaborate with internal teams to prepare and circulate internal memos, presentations, or updates on behalf of the CEO or President.
Vendor Management: Work with third-party vendors to ensure smooth execution of services related to personal and business matters for the executive team.
Office Coordination: Assist with day-to-day office management duties, ensuring smooth operations and that any logistical needs are met efficiently.
Other duties as required.

Salary Range: $75,000 - $95,000 per annum (Actual salary offered will be commensurate with education and experience).
