Your Mission

We are seeking a highly organized and proactive Executive Assistant to support our busy executive team. Your mission is to ensure seamless communication and calendar management while contributing to projects as needed. Join our journey to reimagine building materials and help bring our innovative brand to life.

Key Responsibilities:

  • Provide direct support to the executive team, ensuring efficient scheduling and communication.
  • Manage professional calendars and meeting requests, coordinate appointments, and ensure timely execution of tasks.
  • Prepare meeting agendas to maximize time efficiency.
  • Arrange travel and accommodations for the executive team.
  • Coordinate larger events, including booking venues, catering, and logistics.
  • File and organize both electronic and physical documents, including emails, reports, and records.
  • Oversee onboarding tasks such as managing access cards for new employees.
  • Order and maintain office supplies and inventory, replacing items as needed.
  • Manage and report executive team expenses accurately and efficiently.
  • Monitor internal correspondence and reports to ensure clear communication.
  • Coordinate messenger and courier services as required.
  • Support ad hoc projects to meet evolving business needs.

Qualifications:

  • At least 2 years of relevant experience in a similar role.
  • Proficiency in Microsoft Outlook and other productivity tools.
  • Exceptional organizational and time management skills.
  • Attention to detail and a commitment to thoroughness.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Strong customer service skills, with the ability to anticipate needs and handle requests diplomatically.
  • Analytical and problem-solving abilities, with a creative approach to resolving challenges.
