The Operations Associate Role

The Operations Associate is a key member of the campus operations team. They are responsible for supporting operations throughout the school by ensuring that the operations team and the school leadership team have the student information they need to run the school smoothly.

Primary Responsibilities

Student Information, Data, & Reporting

  • Use Alma’s Student Information System (SIS) to reconcile student attendance daily
  • Use the SIS to maintain and update all student contact information.
  • Manage student issues, such as processing late arrivals and following-up with the families of absent students
  • Daily coordination of student-based lists to be communicated with staff (disciplinary, absentees, etc.)
  • Produce accurate and timely student attendance, disciplinary, honor roll, and other reports for the school leadership team.

Front-Office Support

  • Welcome visitors; address questions and minimize interruptions of the school leadership team
  • Maintain a clean and organized office environment;
  • Support with finding answers to questions and problem solving issues

General School Support

  • Assist the Director of School Operations in preparing the campus annually for start up/new school year launch
  • Support the operations staff by taking the lead on parts of special projects like Back to School Night and Family Conferences
  • Support with school duties (ex. arrival, dismissal or lunch) as needed or as assigned.
  • Provide lunch break coverage for other members of the Operations team.

Supplies and Equipment Maintenance

  • Maintain office equipment (aka ensure copiers are operational and fully stocked with toner, paper, etc.)

Who We’re Looking For

We seek outstanding staff with the following qualifications:

  • At least 1 year of experience working on a school office or operations team or on an office team in a similar setting is required
  • Associates degree or higher
  • Ability to problem solve independently and collaboratively
  • Self-starter with a high level of initiative
  • Strong knowledge of calendar, email, and spreadsheet management through Google Suite or similar.
  • Knowledge of Student Information Systems like PowerSchool, Aspen or similar
  • Flexible and adapts to new technologies and initiatives
  • Well organized and detail oriented
  • Communicates effectively both verbally and in writing
  • Authorized to work in the United States
  • English proficiency is required
  • Multilingual candidates are highly encouraged to apply, especially those with proficiency in Spanish. Fluency is in Portuguese or Cape Verdean Creole will also be an asset to this role.
