Job description

Are you a highly organized and proactive professional with a passion for ensuring seamless office operations? If so, Democracy Forward needs you. We are looking for a detail-oriented and self-motivated individual with strong problem-solving skills to oversee daily office functions, manage facilities, and support operational logistics. This role is essential to ensuring that our workplace runs efficiently and provides a welcoming and professional environment for staff and guests alike.

This position is full-time and based in Washington, DC. The role requires in-office presence at least four (4) days per week, with flexibility to be in the office more when needed.

This position will report to the organization’s Deputy Director for People, Culture, and Operations and work closely with staff across all departments.

Office & Operations Responsibilities:

  • Oversee daily office operations, ensuring a well-functioning and organized workspace.
  • Act as the primary liaison with the organization’s IT vendor (Personified) to troubleshoot and resolve IT and equipment-related issues.
  • Coordinate all building-related needs, including maintenance requests, security procedures, and vendor management.
  • Manage office supplies, including inventory tracking, restocking, and procurement to ensure staff have necessary resources.
  • Support new hire setup, including arranging workstations, distributing access badges, and ensuring all necessary equipment is operational.
  • Plan and coordinate logistics for internal meetings, staff events, and office-wide activities.
  • Ensure common areas, including conference rooms and shared spaces, are maintained, clean, and organized.
  • Develop, implement and enforce office policies to maintain an efficient and positive work environment.

Facilities & Vendor Management Responsibilities:

  • Manage relationships with office service providers and vendors, including cleaning services, maintenance teams, and security personnel.
  • Monitor and coordinate office maintenance needs, ensuring repairs and improvements are addressed in a timely manner.
  • Oversee office security procedures and protocols, ensuring staff compliance and safe workplace practices.
  • Assist in negotiating and managing service contracts for office vendors.

IT & Equipment Support Responsibilities:

  • Act as the liaison with the IT vendor to resolve technical issues.
  • Ensure office technology, including printers, conference room equipment, and shared devices, is functional and maintained.
  • Support staff with basic IT troubleshooting and coordinate resolutions with external IT support when necessary.

Typical Minimum Work Experience and Education (Qualifications):

  • 3-5 years of experience in office management, operations, or facilities coordination.
  • Strong organizational skills and ability to multitask in a fast-paced environment.
  • Excellent interpersonal and communication skills, with a focus on customer service.
  • Experience liaising with vendors and managing office service contracts.
  • Proficiency in Microsoft Office, Google Suite, and ability to learn new workplace technologies.
  • Ability to take initiative, problem-solve, and work independently while collaborating with team members.
  • High level of discretion, professionalism, and attention to detail.
  • Commitment to fostering a welcoming, inclusive, and efficient workplace.

The salary range for this position is $85,000 - $95,000 commensurate with experience plus excellent benefits. Compensation is commensurate with experience.
