We are currently seeking an Operations Coordinator for a full-time role, based out of our Fort Myers, FL HQ.

The Operations Coordinator is primarily responsible for providing support with research & fulfilling open orders, assisting with Logistical operations, and inventory management. This position also assists with ensuring operations run smoothly by communicating on behalf of leadership the daily operations activities and providing team members with the necessary support and resources to enable effective and efficient performance of their essential job duties. 

ESSENTIAL JOB DUTIES & RESPONSIBILITIES:

  • Collaborate cross-functionally to compile information, investigate, and / or confirm accuracy with orders, products, and parts.
  • Investigate aged orders of products and/or parts.
  • Regularly communicate status of aged, processed, and/or further delayed orders either electronically and/or via verbal conversations.
  • Maintain and communicate back-order status to applicable team members.
  • Maintain communication with Tech Services on parts trends and warranty parts for new items.
  • Collaborate with warehouse/logistics teams and assist with order preparation including, but not limited to, printing shipping labels.
  • Communicate the information and assist applicable team members with order status updates and order processing.
  • Execute communications within the organization at the highest level of accuracy.
  • Assist leadership with coordinating and/or communicating operational activities.
  • Accurately document and communicate information pertaining to aged orders/products/parts via MS Excel/Outlook, ERP system, and/or other internal company platforms and resources.
  • Use forecasting tools to assist with ordering parts and products.
  • Monitor sales orders from each individual warehouse and plan orders accordingly.
  • Monitor and report backorders and/or discrepancies discovered and report to appropriate leadership member.
  • Spot trends by communicating interdepartmentally (i.e., Sales Managers, and independent sales representatives).
  • Generate and recommend orders to the Logistics department and follow up on PO’s.
  • Maintain and communicate back-order status to the Sale department.
  • Keep up to date records of all model sales, product inventory and open purchase orders.
  • Order products from Vendors (Armadillo, Gel Ovations and Avid electronics) when needed.
  • Maintain knowledge of new products and remain abreast with product updates.
  • Generate slow moving and dead product lists.
  • Inspect shipments to ensure correct order fulfillment.
  • Maintain inventory of materials, equipment, and products, which includes but is not limited to cycle counts, spot/internal audits, and annual inventory.
  • Complete orders and accurately enter data in ERP system.
  • Prepare shipping documents and/or labels.
  • Book and schedule inbound freight.
  • Fill in as needed for all areas of the operations department (production, warehouse, logistics, parts, etc.).
  • Take notes or minutes for Merits Operations meetings.
  • Local business travel as required.
  • Other duties as assigned.

COMPETENCIES & QUALIFICATIONS:

  • Must abide by and follow Company safety policies and participate in Safety Training as required.
  • Must have strong skills with MS Office products including Excel, SharePoint, Teams, and Outlook.
  • Must have recent skills and experience working with ERP systems (such as NetSuite, Epicor, or similar).
  • Must have excellent organizational and detail orientated skills.
  • Must have strong analytical and problem-solving skills.
  • Must have the ability to learn quickly and multi-task in a fast-paced environment.
  • Must have manual dexterity, good physical condition and strength, and good balance for warehouse safety.
  • Must have the ability to gain and retain a thorough understanding of company products and logistics and adapt to changes as the company grows.
  • Must have a willingness to work overtime, arrive early, and/or stay late according to business / project needs.
  • Must be dependable and hold an excellent attendance record.
  • Must have excellent customer service skills and can appropriately communicate with both internal and external stakeholders.
  • Must speak, read, and write English and have very good written and verbal communication skills.
  • Must have a valid US Driver’s License in good standing and maintain throughout employment.
  • Must be legally authorized to work in the United States.
