The Opportunity
The Community Administrator is the primary record keeper and administrator at the property level ensuring that transactions are recorded accurately on a timely basis. This position will appeal to a responsible individual who enjoys bookkeeping and accounting cycles. They are responsible for ensuring records are accurate and current, and alerting team members when follow-up action with residents is required.
The Community Administrator reports to the Property Manager.
Accountabilities
Operations
Ensure the set up of new and renewing residents and rental agreement terms is complete and accurate in the property management software, Yardi.
Record of receipts in the Yardi, and scrutinize accounts receivable on a daily basis.
Manage Point of Sale transactions, post-dated cheque deposits and Electronic Funds Transfer setups and terminations.
Make bank deposits as required.
Manage rental arrears, preparing Termination Notices, Rent Increase Notices, and other notices when applicable and in compliance with the Residential Tenancies Act.
Alert the Resident Experience Manager of delinquencies requiring further action.
Enter and maintain parking stall rentals and other rentable items in Yardi.
Set up special one-time charges in Yardi, invoice residents for charges including maintenance charge-backs.
Reconcile resident ledgers.
Liaise with the corporate Property Administrator and Property Accountant.
Ensure resident hard copy records, files and documentation are maintained accurately and timely and in accordance with established procedures and in accordance with the Privacy Act.
Upload files to Sharepoint.
Oversee office equipment and order office supplies.
Ensuring the office is kept organized and clean.
Ensure filing is completed on a daily basis.
Record Notices to Vacate in Yardi.
Track upcoming lease renewals and progress on a weekly basis.
Generate tenancy agreements as dictated by the lease renewal process and as advised by the Resident Experience Manager.
Assist the Resident Experience Manager in booking move-out inspections.
Initiate and complete the move-out process in Yardi, including creating and verifying any charges against the security deposit.
Assist with all office functions, as needed.
Responsible for keeping Petty Cash and submitting receipts for reimbursement.
Provide relief coverage of key office duties during breaks and absences.
Other related duties as required.
Customer Service
Practice excellent resident relations through working collaboratively with other team members to ensure resident concerns regarding rent payments or amounts owing are dealt with in a timely and professional manner.
Meet with residents to address any concerns with their accounts.
Assist the Resident Experience Manager in follow-up with residents at touchpoints, obtaining feedback.
Assist the Resident Experience Manager and Service Coordinator in following up with residents upon completion of maintenance service requests, ensuring that a high level of communication occurs in the event of a delay of completion.
Generate and distribute electronic communications using the Yardi database at the direction of the Resident Experience Manager.
Generate and distribute electronic resident satisfaction surveys.
Participate in community events, as appropriate.
Qualifications
Education - High school diploma and understanding of basic bookkeeping practices, combined with a strong service ethic commitment.
Experience – Minimum of 1-year of bookkeeping experience in a customer-focused service industry.
Relationship Skills - Able to communicate effectively and professionally, both oral and written; able to develop and sustain cooperative working relationships with team members and residents; self-motivated, professional and flexible; professional phone manner; mature and self-motivated team player with excellent conflict-resolution skills; committed to personal growth and integrity aligned with company objectives; ability to exercise confidentiality.
Organizational/Multi-Task Skills - Ability to allocate one’s time effectively and manage tight deadlines; ability to work under pressure and achieve quality results; ability to handle multiple demands and competing priorities; results-oriented, detail-oriented and accurate.
Availability - Flexibility to work month-end, regardless of weekend or statutory holiday status is necessary.
Computer Skills - Proficient in a variety of computer software packages including Microsoft Office, and property management/accounting programs, with preference given to Yardi experience.
Police Clearance – A criminal verification check is required for employment.
