The Opportunity

Reporting to the Senior Property Manager, the Property Administrator plays a key role in managing the day-to-day operations for the commercial portfolio in Calgary and are responsible for ensuring smooth operations, maintaining tenant satisfaction and upholding property compliance

Accountabilities

Financial & Accounting Support

  • Prepare and process purchase orders, and invoices in accordance with the budget/signing authorities
  • Assist with credit applications and vendor set up
  • Ensure timely collection of rent, security deposits and other tenant charges
  • Assist with tenant adjustment forms for ledgers
  • Monitor accounts receivable and follow up on outstanding balances
  • Support and verify accuracy of monthly site accruals, variance reporting, rent rolls and PAD reports with Assistant Property Manager, as required
  • Assist with annual property operating and capital budgets
  • Assist with annual rental charge statements and year end reconciliation packages for tenants

Administration & Compliance

  • Maintain accurate property records, including contractor + tenant insurance certificates, tenant contact information, tenant handbooks and other internal building management documents on SharePoint, Microsoft Teams and Angus
  • Process tax assessment notices, ARFI’s and statements
  • Assistance with Angus Maintenance System + Microsoft Teams including tracking and completing work orders and managing reporting from the system in a timely manner
  • Management and tracking of all utility accounts
  • Complete forms, agreements and other documentation, as required
  • Prepare and send notices as required
  • Assist with onboarding new tenants and offboarding expiring tenants
  • Work with the Property Management team to ensure KPIs are met within the portfolio
  • Attend and take notes on site tours and tenant meetings, as required

Customer Service

  • Respond to tenant and contractor daily emails and inquiries
  • Act as liaison between tenants and building operations to ensure that service calls are completed promptly
  • Aid the Property Manager in keeping on top of deadlines/commitments through proactive follow-up
  • Other tasks and/or duties assigned as required

Requirements

  • High School graduation

  • Having a current Alberta real estate license is considered an asset.

  • Self-motivated, professional, and flexible team player with strong customer service skills.

  • Proficient in a variety of computer software packages including Microsoft Office, with preference given to Yardi and Angus Anywhere knowledge.

  • Property management experience is considered an asset.

  • Demonstrates ability to communicate effectively and professionally.

  • Ability to develop and sustain cooperative working relationships with team members and clients.

  • Discrete. Exercises confidentiality.

  • Functions fluently in English, both oral and written communication.

  • Demonstrates exceptional time management, attention to detail and prioritization skills.

  • Committed to personal growth and integrity aligned with company objectives.

  • A criminal verification check is required for Candidates must be bondable.
