The Investment Administration Officer is a crucial member of the Investment Team, responsible for ensuring the accuracy and efficiency of various investment-related operations. The role requires attention to detail and a proactive approach to managing the administrative processes behind rebates, external trades, unlisted bond trades, and process improvements. The successful candidate will play a key part in maintaining operational integrity and supporting the continued success of HUB24’s investment services.

Key responsibilities

  • Rebates Management:
  • Receipt and process rebates from Fund Managers, Portfolio Providers, and other remitting entities.
  • Validate and follow up with Fund Managers/Portfolio Providers regarding discrepancies between calculated and paid rebate rates.
  • Actively follow up with Fund Managers/Portfolio Providers for delayed rebate receipts.
  • Onboard and maintain rebate agreements for Fund Managers and Portfolio Providers.
  • Serve as the main point of contact for issues related to ManagerHub access, including set-ups and onboarding new funds for reporting.
  • External Trades:
  • Reconcile and process trades executed through external brokers, ensuring proper settlement through the platform.
  • Proactively follow up with external brokers and relevant stakeholders regarding failed trades.
  • Act as the main point of contact for any issues related to external broker access and account linkages.
  • Unlisted Bond Trades:
  • Reconcile and process unlisted bond trades submitted by Adviser Groups.
  • Set up and maintain new unlisted bond products.
  • Continuously monitor bond pricing to ensure accurate data is imported into the system.
  • Ad Hoc Projects/Process Improvement:
  • Participate and contribute to ad-hoc projects as required.
  • Identify opportunities for process improvement and efficiency, and actively work to streamline existing workflows.

Key skills required

  • Financial instruments, products, platforms, and the financial planning industry experience
  • Understanding of Australian Tax
  • Significant financial services experience in similar position
  • Strong communication skills
  • Knowledge on Australian securities, cash options and an understanding of the risks inherent in settlement activities
  • Tertiary qualifications highly regarded.
