Scale LLP is seeking a Talent Coordinator who will play a hybrid role supporting talent management & HR functions. This position combines responsibilities in recruitment, onboarding, and retention while leveraging data analytics to inform strategic HR decisions. The role will play a key role in legal talent management, HR processes, and data-driven insights for effective organizational development.

Responsibilities:

Recruitment, Onboarding & Offboarding:

  • Coordinate the recruitment process: reviewing resumes,  interviews, and moving candidates through the pipeline.
  • Provide administrative support to all recruiters/talent executives
  • Maintain accurate candidate tracking and onboarding in ATS systems.
  • Facilitate the onboarding process: prepare new hire files, schedule orientation, set up technology, and coordinate headshots and welcome videos.
  • Process background checks, I-9 documentation, and other compliance paperwork.
  • Monitor payroll administration system to ensure payroll, benefits, and retirement plans are distributed correctly and timely.
  • Ensure employee data (personal info, compensation, deductions, etc.) is accurate and up-to-date in the payroll administration system, including updates for new hires, terminations, benefits changes, and salary adjustments. 
  • Serve as the primary point of contact for all new hires throughout the onboarding process and ensure a smooth first-day experience.
  • Assist with offboarding, including shutting down access to firm systems and collecting feedback from departing employees.
  • Support offboarding processes, including shutting down firm technology access and conducting exit interviews.

Data Collection & Analysis:

  • Collect and compile HR and talent metrics from applicant tracking system, pipeline reports, employee surveys, exit interviews, and other relevant sources (ex. Greenhouse, Gusto, TriNet, NPS).
  • Present reports and data findings to leadership.
  • Support goal-setting for recruitment, retention, and performance metrics, utilizing data. 

Talent & HR Administration:

  • Assist with performance review processes, including preparing forms and reports, particularly for paralegals and associates. 
  • Handle file maintenance, offer/agreement preparation. Maintain compliance with firm and legal regulations on processes and record-keeping.
  • Manage inventory and orders for firm swag and business cards.
  • With oversight from Finance:
  • Monitor Gusto to ensure it processes payroll, benefits, and retirement plans correctly and timely.
    • Ensure employee data (personal info, compensation, deductions, etc.) is accurate and up-to-date in Gusto, including updates for new hires, terminations, benefits changes, and salary adjustments. 
    • Serve as contact for employees with questions about payroll, health insurance, retirement plans, and other benefits, and help them navigate Gusto’s self-service features.
    • Regularly pull and review reports on payroll and benefits to ensure accuracy, and generate custom reports for leadership or audit purposes when needed.
    • Look for ways to optimize Gusto’s usage and ensure smooth integration with other HR tools or platforms.
  • Perform other administrative tasks as needed, including preparing surveys, presentations, etc.

Employee & Community Engagement:

  • Organize and support regular community events, retreats, and external networking initiatives.
  • Book travel arrangements and coordinate logistics for team events.
  • Liaise with attorneys and other team members to coordinate participation in community and impact events.
  • Collaborate with Operations teams on intranet efforts, talent management projects, etc. 

You will succeed in this role if you have:

  • Bachelor’s degree or clear demonstration of equivalent knowledge and skill
  • At least two years of experience supporting recruiting or HR teams.
  • Experience and proven proficiency with applicant tracking systems, HRIS systems too is a plus.
  • Strong written communication, project management and time management skills.
  • Modern tech platform skills including Slack, the Google Suite, and social media.
  • Exceptional professional interpersonal skills and the ability to interact across the entire Scale team.
  • Experience with reporting and analytics.
  • Desire to perform and “do it right.”

Bonus if you have:

  • Prior experience working at a law firm or in the professional service industry.
  • Experience with the following systems: Greenhouse ATS & Onboarding, Gusto, and TriNet.

Compensation:

  • The annualized base salary for this position is $70,000 + eligibility for a  performance bonus.
