Job description

We are looking for a Human Resources Coordinator to join our team.

Reports To:

Human Resources Manager

Duties will include but are not limited to:

  • Respond to internal and external HR related inquiries or requests
  • Perform orientations, onboarding and update records with new hires
  • Performs input into HRIS for employee maintenance and personnel changes
  • Troubleshoot and direct employees to proper HR assistance when inquiring within the HR department in person, through emails or phone inquiries
  • Support the hiring process by coordinating employee drug testing and performing background checks
  • Liaise with other departments or functions (payroll, benefits etc.)
  • Assist in conducting New Employee Orientation and in the intake process of all new employees and Volunteers
  • Acts as liaison for AMC Volunteer program
  • Communicates with incoming and outgoing Residents and Interns to assure a smooth transition at AMC
  • Assist HR Manager and Director on special projects and hospital wide annual training requirements (Residency and Internship Programs, Graduation, Sexual Harassment, etc)
  • Support other HR related functions as assigned

Mailroom maintenance:

  • Responsible for processing and distributing all AMC mail, incoming and outgoing in a daily basis
  • Responsible for maintaining the supplies and updated internal employee mailboxes when needed
  • Responsible for communicating with outside services as, US Post Office, FEDEX, etc. to assure proper delivery of packages and service request

Employee File maintenance:

  • Responsible for filing/maintaining employee records on a regular basis
  • Maintains all HR files and documents for internal and external audits and inquiries
  • Updates employee files with job changes, payroll changes, etc.

Requirements and skills:

  • 3 + years experience as an HR Assistant, or relevant human resources/administrative position
  • Able to work collaboratively with all levels of staff
  • Strong ability in using MS Office (MS Excel and MS PowerPoint, in particular)
  • Experience with HR databases and HRIS systems (e.g., ADP WorkForce Now and Time + Attendance)
  • Outstanding communication and interpersonal skills
  • Ability to handle data with confidentiality
  • Good organizational and time management skills
  • High School Diploma, college degree a plus
